Missed service due to overgrown vegetation. Who trims it, us or the driver?

I run a ranch with seasonal crews and have three standard units and one ADA-compliant unit on-site long-term. They're on level ground near a dirt track, but the service truck has to drive 40 miles to reach us, and in summer, the sagebrush and weeds grow fast. Last week, the driver couldn't get close enough to pump one unit because the vegetation had overgrown the access path. He marked it as a missed service, and I got billed for the trip. The rental contract doesn't say who handles trimming. Is clearing the truck access my job, or should the driver do it? What's standard in remote placements like this?

Clearing the access path is your job as the customer, because the driver is there to service the units, not to do groundskeeping on your property. That has been true on every long term placement we've had out on our acreage. Drivers carry a hose and a route schedule. They don't carry a weed whacker, and most won't drag a heavy hose through brush when they can't see the ground under it.

What fixed it for us:

  • Mow a lane wide enough for the truck all the way to the units, with room to turn around if the track dead ends.
  • Keep a clear patch around each door and along the side where the hose reaches the tank.
  • Trim on a set day a few days before service day, so summer growth never gets ahead of you.

After a miss, call the office, tell them the path is cleared, and ask them to note it on your account. Since the contract is silent, it's fair to ask politely if they'll drop that one trip charge, but I wouldn't count on it. Ask them to spell out truck access terms at renewal so nobody argues about it next summer.

One more thing on the ADA unit. The path to that one has to stay usable for someone in a wheelchair, not just the truck, so keep it firm and clear of weeds too.
