Missed service due to a locked gate: who covers the fee?

We've had a standard unit on our gravel driveway for three weeks during a bathroom renovation. The rental company requires truck access for their weekly service visit, and I usually leave our gate unlocked on service day. Last week, I forgot and locked it. The driver came, couldn't get in, and the company is charging a missed service fee. I thought they'd just come back later, but the contract says a blocked unit results in a fee. Is it standard to charge for this, and should I have been reminded about the gate?

Yes, when a locked gate blocks truck access and the driver cannot finish the service visit, the renter usually covers the missed-service fee.

Most rental contracts put site access on you. The weekly stop was already on the schedule. The truck rolled out, found a locked gate, and left without pumping. That wasted trip is what the fee covers, not the cleaning itself.

A reminder text or call is a courtesy, not a requirement. Some outfits ping the day before. Plenty do not, especially once the service day is written into the order. Forgetting to unlock once is an easy mistake on a remodel driveway.

For the rest of the job, set a phone reminder the night before service day, leave a gate code with dispatch, or put a spare key in a lockbox they can reach. Keep the path clear so the hose and truck can get to the standard unit without a second attempt.
