Why is there a fuel surcharge on my October 2026 invoice?

My ranch has a standard unit for the seasonal crew and an ADA-compliant unit for the guest cabin, both on monthly rental. The service truck drives 40 miles each way on gravel roads to pump the holding tanks. The invoice always includes a delivery fee, but this month added a separate fuel surcharge. I thought the delivery fee covered fuel for the vacuum truck. The ground is level, and access is clear unless snow blocks the road. Does a rental company charge a fuel surcharge on top of delivery? When does that kick in?

Yes, a rental company can charge a fuel surcharge on top of the delivery fee. The delivery fee covers the initial transport of the units to your site and their eventual pickup, while the fuel surcharge is a variable fee for the service visits to pump the holding tank and restock supplies. Fuel surcharges typically kick in when fuel prices spike or when the service distance exceeds a certain threshold, like your 40-mile gravel road trip which burns more fuel and takes more time than a typical urban route. Your monthly rental includes weekly service visits by a vacuum truck, and the surcharge helps the operator cover rising diesel costs without renegotiating your entire contract. Clear access and level ground keep the base service efficient, but long hauls on rough roads always add cost. If snow blocks access, that’s a missed service you’d still pay for, but the surcharge is purely for fuel.
