HOA gate locks after 6pm. How does the weekly porta potty service still happen?

We have a standard unit on a residential remodel inside a gated HOA. Crew of about eight, five days a week, and the contract calls for a weekly service visit. The gate uses a keypad and the night lock kicks in at 6pm. Our superintendent is not always on site when the vacuum truck shows up.

Last week the driver left a note that he could not get in and skipped the pump. Unit smelled fine for a day, then the crew complained by Thursday. Do rental companies usually take a gate code, or do they need a contact who opens the gate in person? If the driver misses a stop because of access, do they come back the same week or wait until the next scheduled day? Looking for what has worked for other jobsite folks, not a sales pitch.

Give the rental company the gate code and a superintendent's phone number, and confirm they will service before 6pm. The driver needs the code to enter for a service visit. The standard industry practice is to schedule service during gate access hours, and the contract likely requires you to provide clear access. If the driver cannot get in, it is logged as a missed service and the trip is usually billed.

Most companies will not make a special return trip the same week for a missed stop due to access problems. They will wait for the next scheduled service day. The weekly service norm is for average use; with a crew of eight using it five days, the unit will fill up and odor will become a problem if service is missed. For your small crew, the unit might last a week, but consistency is key.

Coordinate with the superintendent to ensure the code is on file and the driver knows to come before the lock time. If the driver's schedule is unreliable, talk to the rental company about a guaranteed morning or early afternoon window. This is a common issue in gated communities.

Luis covered the access basics, but he left out the contract detail. Your rental agreement will have a clause about truck access, and a locked gate with no code provided is a standard reason for a missed service. The driver's note is the proof. The rental company dispatches routes by location, so a special same-week return trip is not typical; it disrupts the entire schedule. The solution is administrative: get the gate code to the rental company's office, not just the driver, and confirm it is in their work order system. For a crew of eight, the holding tank on a standard unit will be full and foul by the end of a second week if a service is skipped.
