How do operators calculate the price per service visit when fuel costs spike in 2026?

We've been running our vacuum trucks on diesel for years, and every spike in fuel costs eats into our margins. A service visit for a standard portable toilet involves driving the route, running the pump for about five minutes per unit, then driving to the treatment plant to dump. When diesel jumps, that round trip gets expensive fast. I'm looking at how other operators handle this. Do you build a fuel surcharge into your service fees that adjusts with the local diesel price? Or do you lock in a flat rate per service visit and just absorb the cost until the next contract renewal? What's the fairest way to pass this on without losing customers?

Operators typically pass fuel cost spikes to customers through a variable fuel surcharge, not by absorbing it. A flat rate that ignores diesel prices will hurt your margins on long routes. The surcharge is usually a separate line item on the invoice that adjusts with a publicly available diesel price index for your region. This keeps the base service fee stable and makes the cost increase transparent to the customer.

The cost of a service visit is driven by the unit type, service frequency, and the total route distance including the trip to the wastewater treatment plant. A standard unit with a 50 to 70 gallon holding tank takes about five minutes to service, but a restroom trailer with multiple fresh water tank fills and a larger waste volume takes longer and uses more fuel. Weekly service frequency is the norm, but events with high traffic or hot weather require more frequent visits. The fairest method is a clear surcharge; customers understand that fuel is a direct cost you don't control, and it's easier to adjust than renegotiating every contract.
