What condition does the unit need to be in at pickup to avoid extra charges?

I have a standard unit that's been on my ranch for the seasonal hands for three months. The rental company is coming to pick it up next week. The unit is in decent shape inside, but the plastic door has a crack from when a hay bale got tossed against it, and the side has some spray paint from the crew. It's on level ground, and the vacuum truck can drive right up to it. What condition does the unit need to be in at pickup to avoid extra charges? Does a cracked door or graffiti count as damage they'll bill me for, or is that considered normal wear and tear for a long-term rental?

Cracked doors and spray paint usually get billed as damage, not normal wear, on a long-term standard unit pickup.

Normal wear is dull plastic, scuffed floors, and light staining from months of regular use. A door crack from a hay bale and paint on the side are repair items. Crews note those on the pickup sheet when the vacuum truck pulls up and the tech walks the unit before they load it.

Before they arrive, clear the pad so they can get the hose on it, leave access the way your contract describes, and snap a couple phone photos of the crack and the paint with the whole unit in the frame. That gives you a record of what was already there if the invoice later lists something else. Call the dispatcher now and ask whether their paperwork treats graffiti and cracked doors as damage. Most yards do. If they offered a damage waiver, read what it excludes, because impact cracks and paint often sit outside the waiver.

I have pulled long-term ranch and site rentals with the same issues. The vacuum and a basic wipe-down are part of pickup. Fixing a cracked door panel is not.
