Our fall festival got pushed a week for rain and the porta potties are already on the lot. Do we pay for two rentals?

Our small town fall festival was supposed to be this Saturday but the forecast is a washout, so the committee voted tonight to push it one week. Problem is the rental company dropped off four standard units, one ADA unit and a hand wash station yesterday, and they're sitting on the gravel lot behind the fire hall.

I haven't called them yet. Is it normal to just leave everything in place another week, or do they usually pick up and redeliver? I'm guessing the units would need a service before the new date even if the public never touches them, since a few vendors were setting up booths today and already used them.

What should I ask for on the phone so we aren't billed for a second delivery we didn't need? And is there anything in the rental agreement I should look for before I call?

Yes, you will pay for the extra week of rental. The rental company will not pick up and redeliver the units unless your contract specifies otherwise. Standard practice is to leave the units in place and extend the rental period, which includes billing for the additional time.

Call the rental company immediately to notify them of the date change. Ask to extend the rental agreement by one week and confirm the new service schedule. Since vendors have already used the units, a service visit is necessary before the event. The holding tank may need pumping, and the deodorizer and supplies must be refreshed.

Review your rental agreement for clauses on rental extensions, missed events, and service fees. Look for terms regarding minimum rental periods or fees for date changes. Avoid being billed for a second delivery by clarifying that the units remain on-site and only the rental period and service date are adjusted.
